In case you missed the posts, here’s the Introduction and the first series: How to Organize Mail. If you know me personally, you should have known already how I love organizing with binders. I’m old school, and I sure need a paper reference for important documents. And it works perfectly in case I don’t have online access.
Over a year ago, I started scanning documents as well as to have a digital backup which I should have done a long time ago. It’s a quick process once you get in the groove of doing it. Unarguably, scanning documents gives the benefit of security, so that if anything happens (fire, flood, etc.) to the physical copies, there’ll be a spare set. I have the documents in PDF format, then, I save it.
HOW I SAVED MY SCANNED DOCUMENTS
*Laptop – After I scanned the documents, I saved it in my laptop. However, I am well aware of the fact that I only have so much storage in this device and quite frankly, I don’t want it to crash on me anytime soon. Not to mention that in the event I lost the laptop in my possession, I could no longer have access to my documents. There are a ton of crazy possibilities of losing the documents so, it’s better to take one step ahead.
Although there’s an iCloud feature available in laptops and other electronic devices, I have not entirely relied on this since accessing files requires internet connection or Wi-Fi which defeats the purpose of having to retrieve data conveniently, anytime and anywhere.
*Removable Disk Storage – I’m using USB flash drive with 128GB. For security reasons, I keep this tiny disk in a safe box. What I love about this is the capability it offers to organize the files easily. So, I organize mine precisely when organizing with binders. I have six folders (with sub-folders in each): Adoption Binder, Budget Binder, Home Binder, Pet Binder, Real Estate Binder, and Tax Binder.
*Adobe Document Cloud – I’ve started using this very recently, and I would say I highly recommend it. Although there’s an associated fee for using this program, I still have my preference on this over other applications. What can I say, everything I need for my documents is in Adobe. But of course, other programs offer from free to a fee depending on your needs.
Let’s talk about the scanner that I’m using. For a while, I scan the documents through our multifunction printer until recently, I decided to buy this one. It’s handy, and I can easily position it on my desk. If you prefer using your phone, many mobile scanning apps are free. It turns your phone into a scanner and converts images into PDF format. I used DropBox for years. I still keep the free version and use it once in a while.
ORGANIZING WITH BINDERS
Organizing with binders is one of my favorites! It’s a great way to have peace of mind. Imagine you need a document right at the moment without using your electronics. Oppsss, this is an old school me talking. .. Seriously, if I want to take a glance at our home binder, I know, I can quickly grab it.
Since my office is only halfway done regarding adding storage, I have moved my binders a couple of times. Still, it’s available anytime I need it. The best scenario I can think of right now is our ‘Adoption Binder’. Without this, I’d be crazy finding information to fill out documents for our dossier. If you’ve been or taking the adoption journey, you know what I’m talking about. .. When I started organizing with binders, I didn’t do it all at one time. It took me a while to organize each binder and established a system.
Adoption Binder – Each document we need for our adoption journey is in this binder. It helps me keep my sanity!
Budget Binder – Keeping track of our finances is a huge thing for us! More than anything I make sure to keep this up-to-date.
Home Binder – Everything about home stuff I keep in this binder. I used to place this in one of our kitchen cabinets, but I don’t like the idea that it can be visible to just about anyone whether guests or pest control guy. You know what I mean. ..
Pet Binder – Since Chase (our 6-year old Shih Tzu) is a family member, I made sure that there is a binder dedicated for his records. When I’m traveling, I leave this in a designated kitchen area so that my husband has easy access of his information in case of emergency.
Real Estate Binder – Everything about our real estate documents I filed in this binder from property taxes to sale/ purchase details.
Tax Binder – I don’t know what to do without this binder. Another one that helps me keep my sanity. Well, all of my binders do actually!
